Stafftrak Reports every Member Should Know

One of the greatest features that Stafftrak offers is the ability to give our Members quick access to a variety of data in the form of Reports. There are many valuable Stafftrak reports available help Members manage daily processes, review productivity, measure success and plan recruiting and sales strategies. Here are a just a few of the many valuable reports available in Stafftrak.

Active Company Information

The Active Company Information report gives you a quick overview of the Credit area for all the Active companies in your system. You can easily see the Credit Limit, Outstanding Accounts Receivable, Invoice Delivery, Invoice Split and Last Invoice Date in one report. This is a great way to review all accounts, ensure Invoices are being delivered and split appropriately and also see how/if Statutory Holidays are being billed.

Active Report (Detail)

The Active Report (Detail) is a go to for many of our members. It can be used for many purposes. Some of the most common uses are: A quick list of all people active on assignment at a client, Review of both Active and Inactive order information. Creating lists for Email Blasts to people actively working for a particular Branch or client. This report is one that we often recommend to members and is probably one of the most-used Stafftrak reports in the system.

Active Not Paid

The Active Not Paid report will give you a list of people who are still active on an order, but not paid in the year week you enter in the search conditions. This is a great clean-up report that allows you to quickly see orders you need to review in order to locate missing timesheets or update order end dates. You can also find this report on the Dashboard in Stafftrak, which makes it a great way to make this report a part of your weekly processes.

Paid but Not Billed

Unfortunately there are times when employees are paid but no client is billed. It’s important to minimize this as much as possible. One way of doing that would be to monitor payroll that is paid but not billed. The Paid but Not Billed Report can give you a quick snap shot of anything that was paid but not billed for any week range you put in the search conditions. The report will also show you the Timesheet type being used which is a great way to see if you have a possible payroll error or if you may need to re-consider how you are currently managing items such as Stat Holiday Pay.

Attrition Report

The Attrition Report is a great tool that can be used both as a resource for assessing overall Attrition and also for looking at Attrition that is Client-specific. As long as all staff complete the Attrition Reason and Attrition Note fields when ending someone on an order, you will have access to a wealth of valuable data that can help to determine the reasons assignments are coming to an end. Reviewing this report on a regular basis can help to make visible patterns and possible issues, allowing you to pro-actively address concerns.

Stat Summary Report

The Stat Summary Report found under the Payroll folder is another great way to review and manage your process for paying and billing stat holidays. This report gives you a break down on what was actually paid out and billed out in Stats in the week you search. This report is a great way to see how the Stat Holidays are affecting your Margins and also a good way to see a quick list of everyone you paid for a particular holiday as well.

Customer Listing Report

Found under the Productivity Folder, the Customer Listing report is a great way to obtain a list of companies and contacts along with contact information. This report can be used to track Prospects you are pursuing, Active clients and Inactive clients as well. You can use this report to formulate lists for mailers and email blasts and it’s a great way to get a quick snap shot of the companies and contacts you have listed in Stafftrak. For your Active and Inactive clients you can easily see the last time they have been billed which is a great way to plan follow-up.

Year over Year Report

A great way to see what’s happening with companies you do business with for multiple years is to run the Year over Year Comparison. This report can be found under the Management Folder and is permission based. This report allows you to run a comparison for the total amount of hours billed in the current period entered in your search and the same period a year prior. This is a great way to quickly see if business has increased, decreased or remained steady with each client.
